ACGME trainees are automatically added into Hydra from the MedHub feed. But if the trainee is missing from MedHub or the trainee's GME program code is not associated with ZSFG, then the trainee will not be added to Hydra. The trainee administrator (TA) will need to work with the UCSF Graduate Medical Education (GME) office to get them into MedHub and verify that the GME program code they are associated is with ZSFG.
Hydra creates the trainee record with an F (future) status, then automatically provisions a DPH AD account and electronically transmits the request for CCSF DPH to create a POI number.
Once the trainee is in Hydra, the department manager or TA may request a ZSFG ID Badge be printed for the orientation process.
To confirm if the trainee exists in Hydra, access Hydra Web or review the Hydra Manager Match File for the trainee's DPH AD account, POI number and ZSFG ID Badge information.
Fifteen (15) days before the trainee ZSFG start date, Hydra flips the trainee status from F (future) to A (active). Hydra then enables the trainee DPH AD account and assigns it to the necessary DPH AD groups (VDI, MyDesktop, Epic-Production or WebPacs). Lastly, the trainee is assigned the required Annual Learning ELM Training courses.

Once the trainee is added to Hydra with the DPH AD account and POI number created, submit the DPH Epic Onboarding request.
